Learn How to Change Email on Your iPhone

Understanding Email on Your iPhone and Why You Might Want to Change It

Your iPhone can store multiple email accounts, and you may want to change or update your email settings for several reasons. You might have created a new email address and want to use it as your primary account. You could be switching email providers, such as moving from Gmail to Outlook or another service. Perhaps you're updating security settings after changing your password, or you want to remove an old email account you no longer use. Understanding what "changing email" means on an iPhone helps you know what steps to take.

When you change email on your iPhone, you're typically doing one of three things. First, you might be removing an existing email account from your device entirely. Second, you could be adding a new email account while keeping the old one. Third, you may be modifying the settings of an existing account, such as changing the password or updating the server information. Each of these tasks uses different methods on your iPhone, and knowing which one you need prevents confusion during the process.

The Mail app on your iPhone is where you manage most email settings. This built-in application comes pre-installed on all iPhones and handles email from various providers including iCloud, Gmail, Outlook, Yahoo, and many others. You can also add corporate email accounts if your company uses Microsoft Exchange or similar systems. The process for changing email varies slightly depending on which type of email provider you use, but the basic steps remain consistent across most accounts.

Understanding your email setup takes just a few minutes and prevents mistakes that might result in lost access to your accounts. Before you make any changes, consider writing down your email addresses and passwords somewhere safe. This reference helps if you need to re-enter information during the change process. You should also know that changing email on your iPhone does not change your actual email account itself—it only changes how your iPhone accesses and displays that account.

Practical Takeaway: Spend five minutes reviewing which email accounts are currently on your iPhone and why you want to make changes. Knowing your goal before you start makes the process faster and reduces the chance of mistakes.

How to Remove an Email Account from Your iPhone

Removing an email account from your iPhone is often the first step when you want to change which email you use on your device. This action removes the account from your phone but does not delete the actual email account or any messages stored on the email provider's servers. Your emails remain safe in your account online—you're only removing your iPhone's access to that account. This distinction matters because you can add the account back at any time if needed.

To remove an email account, start by opening the Settings app on your home screen. Look for the gear icon, which represents Settings. Once Settings opens, scroll down and look for "Mail." The Mail option may also appear under a section called "Passwords & Accounts" on some iPhone models. Tap on Mail to access email-related settings. Next, look for "Accounts" within the Mail settings. This section shows all email accounts currently connected to your iPhone. You'll see a list of your accounts with their email addresses displayed.

Find the account you want to remove from your list and tap on it. A screen will appear showing details about that account, including the email address and account type. Near the bottom of this screen, you should see a red button or option that says "Delete Account" or "Remove Account." The exact wording may vary slightly depending on your iPhone model and iOS version, but red buttons on iPhone typically indicate a deletion action. Tap this red button to proceed.

Your iPhone will ask you to confirm that you want to remove the account. This confirmation step prevents accidentally deleting accounts. You may also see an option asking whether you want to keep or remove the data associated with that account, such as emails already downloaded to your phone. Choose "Keep on My iPhone" if you want to retain local copies of those emails, or "Remove from My iPhone" if you want to delete them. After confirmation, the account is no longer connected to your iPhone, though your actual email account continues to exist online at the email provider's website.

Practical Takeaway: Removing an account takes less than two minutes and causes no permanent damage. If you're uncertain about whether you'll need an account again, choose to keep data on your iPhone during removal—you can always delete the email files later if needed.

Adding a New Email Account to Your iPhone

Adding a new email account to your iPhone allows you to receive and send messages from that account using the Mail app. Most email providers work smoothly with iPhones, and the setup process is straightforward. Whether your new account is from Apple's iCloud, Google's Gmail, Microsoft Outlook, Yahoo, or another popular provider, your iPhone can connect to it. The Mail app on iPhone supports nearly all major email services and many smaller providers as well.

Begin by opening Settings and navigating to Mail, then select Accounts. You should see a button or option that says "Add Account" or displays a plus sign (+). Tap this to begin adding your new email account. Your iPhone will then show you a list of popular email providers including iCloud, Exchange, Google, Yahoo, AOL, and others. If your email provider appears in this list, tap on it directly. If your provider is not listed, select "Other" at the bottom to add a different account type.

If you selected a specific email provider from the list, your iPhone will open a login screen. Enter your email address in the appropriate field. For most providers like Gmail and Outlook, you only need to provide your email address—your iPhone connects to that provider's system automatically to verify your information. You'll be directed to enter your password on the provider's secure server. This step is important for security because your password goes directly to Gmail, Outlook, or whichever service you use, not through Apple's systems.

After entering your password, your iPhone typically completes the setup automatically. The account appears in your Accounts list, and you can start using Mail immediately. Your iPhone downloads recent emails from that account and continues checking for new messages. You can customize what data you sync—for example, you might choose to sync only recent emails to save storage space on your iPhone, or you might sync contacts and calendars associated with that email account if the provider supports these features.

If you selected "Other" because your provider wasn't listed, you'll need to enter additional information. Your iPhone asks for your name, email address, and password. Below that, you'll see fields for server information. This is where you enter details like the incoming mail server address and outgoing mail server address. If you don't know this information, you can usually find it on your email provider's website in their support section under "email settings" or "IMAP/POP settings." Many providers list this information clearly for customers who want to use their email on phones and tablets.

Practical Takeaway: Adding an account typically takes three to five minutes. Keep your email password handy before you start, and know that the password stays secure because your iPhone sends it directly to your email provider's server.

Changing Your Primary Email Account on iPhone

If you have multiple email accounts on your iPhone, you may want to designate one as your primary account. Your primary email is the one that appears as the "from" address by default when you compose new messages. It's also the account that receives notifications first when set up that way. Changing your primary account is useful when you transition to a new email address but want to keep your old account active for receiving messages sent to that old address.

To change your primary email account, open Settings and go to Mail, then Accounts. Look for an option that says "Default Account" near the bottom of the Accounts section. On some iPhones, this option appears directly in the Mail settings. Tap on "Default Account" and you'll see a list of all your connected email accounts. Simply select the account you want to use as your primary. This selection changes which account appears automatically in the "from" field when you write new messages.

You can still send email from your other accounts even if they're not set as primary. When you compose a message, you can tap on the "from" line and select a different account from the list. This flexibility means you don't have to choose between your accounts—you're simply selecting which one appears as the default. The primary account setting also affects which address receives certain notifications, depending on how you've configured your notification settings.

Changing your primary email account is different from changing your password. If you need to change your password because you've updated it at your email provider's website, you'll need to follow additional steps. Your iPhone will try to connect using the old password and fail. When this happens,
